Do you charge planning or booking fees?

Research, coordination, consultation, and travel management taps into a travel advisor’s time, expertise and exclusive trade relationships. So, just like all professional service agencies, our services are chargeable.

The retainer for Professional Vacation Planning Services is based on the complexity of the trip, i.e., traveling to multiple destinations, wanting to book multiple activities, people flying out of different places, etc., and is outlined in the Initial Proposal you will be provided at the start of the planning process.

What is the planning process like?

Phase One: Initial Consultation and Proposal

The process begins with an Initial Consultation. This is free of charge, as is the Initial Proposal. This consultation can be done in person, over the phone, or via email. It’s a chance to ask and answer questions of each other. We’ll discuss your travel preferences and aspirations, your specific trip parameters (time, budget, pace, etc.), the professional services that would be best suited for you, and how I can provide you with a worry-free, amazing travel experience.

The Initial Proposal is a general overview. We provide suggested accommodations based on your preferences, and list the package pricing for that specific accommodation plus airfare, transfer, etc. This is simply to give you an idea of available accommodation options and rough package pricing.

Phase Two: Retainer Collection and Official Quote

The retainer for Professional Services is due after Initial Proposal is presented and before any additional research is performed.

Once the retainer is processed, we then begin fine-tuning the details such as flight itinerary, resort/hotel, sightseeing tours, etc., and will present them to you as an Official Quote. The quote is not binding nor is it a final offer. There is room to collaborate and adjust any components that need to be changed, removed, or substituted. Once the details have been settled, we move ahead with ‘goalpost’ purchases (e.g., flights, tour deposits, insurance).

Phase Three: Booking Confirmations and Management

At this time, all reservations are confirmed, deposited upon and/or paid in full, with your advisor acting as your intermediary. We monitor and manage all future payments, required documentation such as visas and passports, and provide you with confirmation documents for your records. We also keep copies on file.

 

After the trip is paid in full, you’ll receive a detailed final itinerary, usually as travel documents in paper form. A mobile-enabled format will be offered when available.


During the weeks prior to your departure, we stay in touch with both you and the service providers in your destination(s) to build anticipation and offer support with any last-minute questions or details.
